NOTICE TO BIDDERS
The Greenfield Fire District (“District”) hereby solicits sealed proposals from qualified vendors for the furnishing, fitting, tailoring, and delivery of 35 Class A Firefighter dress uniforms and related accessories for District personnel.
Sealed bids will be received by the District Secretary until September 1,2026 at the Greenfield Fire District Office, 13 South Greenfield Road, Greenfield Center, NY 12833 by 2:00 PM or by mail at PO Box 103 Greenfield Center NY 12833. All bids received after 2:00pm will not be considered
All bids must be sealed and clearly marked “Class A Uniforms”
All bids will be publicly opened and read aloud at the September 9, 2026 Board of Fire Commissioners Meeting. The final decision will be at the discretion of the board.
SCOPE OF WORK
The successful bidder shall provide uniform clothing, accessories, measuring services, tailoring services, and related support in accordance with the District’s specifications.
The proposed uniforms shall include, but not be limited to:
Uniform Jacket
- Elbeco Top Authority (or approved equivalent to match existing uniforms)
- Midnight Navy
- Double-breasted, eight-button design
- Gold or silver interchangeable buttons depending on rank
- District patch on left sleeve
- American flag on right sleeve
- Three sleeve buttons at cuff
- Tailored to individual measurements
Uniform Pants
- Elbeco Top Authority
- Midnight Navy
- Four-pocket dress pant with stretch waist
- One-half inch white stripe on each leg
- Tailored and hemmed to individual measurements
Uniform Shirt
- TexTrop2
- White or light blue depending on rank
- Two flap pockets
- Breathable underarm venting
- Combination zipper/button closure
- District patch on left sleeve
- American flag on right sleeve
Accessories
- Rothco high-gloss black oxford shoes
- Black clip-on tie
- Black uniform belt
- Standard garment bag
Dress Hats
- District Chief: White bell-style dress hat with gold accent band
- Deputy/Assistant Chief: White bell-style dress hat with black band and gold accent
- Firefighters: Midnight blue bell-style dress hat with interchangeable black accent band
Services Required
- On-site measuring and fittings
- Individual tailoring for each member
- Compliance with District billing and payment procedures
- In-store tailoring and alteration services
- Ability to provide custom patches (preferred)
- Ability to provide additional apparel items, including polo shirts and T-shirts (preferred)
BID SUBMISSION REQUIREMENTS
- Each proposal shall include:
- Company name, address, and contact information.
- Description of relevant experience providing uniform services to fire departments, municipalities, or emergency service organizations.
- Product literature and specifications.
- Itemized pricing schedule.
- Cost of measuring and tailoring services.
- Estimated delivery schedule.
- References from at least three current or recent municipal or emergency service customers.
- Proof of insurance.
- Any exceptions to the specifications.
TERM OF AGREEMENT
The contract will be awarded at the discretion of the Greenfield Fire District Board of Fire Commissioners.
EVALUATION CRITERIA
Proposals will be evaluated based upon:
- Compliance with specifications
- Cost
- Quality of products
- Experience and qualifications
- Delivery capabilities
- Tailoring and fitting services
- Availability of ongoing support and alterations
- References
- The District reserves the right to reject any or all proposals and to waive minor irregularities when deemed to be in the best interest of the District.

RESERVATION OF RIGHTS
The Greenfield Fire District reserves the right to:
- Reject any or all bids.
- Request clarification of proposals.
- Negotiate with qualified proposers.
- Award a contract in whole or in part.
- Determine the responsiveness and responsibility of all bidders.
- Cancel or reissue this solicitation as deemed necessary.
